The Vintage Roundup Vendor Agreement  

By submitting your vendor payment, you agree to the following terms and conditions;

PAYMENT & REFUNDS

Accepted vendors will be notified of event details via the email address provided within the vendor application. Vendors are required to submit payment via the vendor portal located at thevintageroundup.com within 1 week of acceptance email. Spots are limited and not locked in/guaranteed until payment is rendered. 

The Vintage Roundup is an outdoor event, and subject to change based on inclement weather. Rain date will be provided via the website and email. Payments are non-refundable after two weeks of payment (including inclement weather and individual covid related changes & cancellations). Payment is non-transferable unless authorized by The Vintage Roundup.

BOOTH & SET UP

Vendor fee includes your vending space only. Vendors will be responsible for providing their own tables, white tent, chairs, racks, displays and equipment. In the event a vendor chooses not to bring/purchase a white tent, or tent weights, rental options will be added to the vendor fee. Vendors agree to not use colored tents unless it is a personalized tent for food vendors. Vendors must sell authentic vintage/antique merchandise only. No upcycled or heavily altered vintage/antique goods are allowed. Vendors must set up for the entirety of the scheduled event time. There is no public Wi-Fi & power will only be provided to food vendors upon request. Food vendors are responsible for bringing their own high powered extension cord, with a minimum of 100ft. Booth sharing will not be permitted as each business must apply individually and be accepted to participate.

The Vintage Roundup will not be responsible for any lost, stolen, or damaged goods/personal belongings. Please be aware, responsible, and careful with your area. Any damages caused by patrons, vendors or transportation of goods will be the responsibility of the vendor. The Vintage Roundup will not be held responsible for any injuries or accidents occurring on the event property. 

Tent weights are a necessity to sell with The Vintage Roundup. This is a safety rule for patrons, yourself, and possible damage to items and the city of Albany’s property. Any vendor that does not provide adequate weights, will be responsible for covering the $30 weight rental fee for the day of the event. No exceptions will be given to this rule.

MEDIA POLICY

Vendors are expected to share & market the event to their audience, including but not limited to; posting on social media, advertising in store, sharing the event, tagging the market in related content & using official event graphics.

By participating in The Vintage Roundup, you consent to the release rights and claims in connection to photos and videos used for promotions, advertisements, social media, or other purposes to which you appear. You agree to allow The Vintage Roundup to take and/or use photographs, video and/or recordings of your booth for promotional purposes only within social media, print or televised advertisements, brochures, postcards, fliers, website, and other marketing collateral. Understand that any photos or videos that are used will be for the purpose of support and advertisement for the market only.

By accepting, you waive any right to review, inspect, or approve of photos/videos and know the photos remain the sole property of The Vintage Roundup. Further, acceptance agrees that you will not hinder the success of promotional opportunities for your own business.

NOT ALLOWED

Any items for sale pertaining to; Weapons, blatant pornography, drugs/alcohol, homophobic/racist or illegal substances are strictly not allowed and will be asked to be removed and may hinder your chances of participating in other markets hosted by The Northern Crown LLC. You understand that The Vintage Roundup reserves the right to reject any vendor if it feels items for sale do not meet the event’s primary mission. 

REGULATORY, LICENSING & OTHER CONCERNS

We recommend that your business complies with local tax regulations by registering your  business, collecting sales tax, and reporting and remitting state sales tax. Health certificates are required for all food vendors and must be provided prior to market date. If you are selling any taxable items, it is your responsibility to possess and maintain a current tax ID number, sales license, and to collect all taxes on your sales. 

You are responsible for your own area, including trash removal. The City of Albany will provide adequate recycling and garbage receptacles on premises.

Restrooms are not available on premises but can be accessed at neighboring businesses. By registering to be a vendor at The Vintage Roundup you agree to all guidelines, rules, regulations, times, terms and conditions. You agree not to hold The Vintage Roundup or its ownership responsible if you do not make a profit.  

Vendor agrees to the fullest extent permitted by law, to indemnify and hold harmless The Vintage Roundup and its members, from and against all liability for any and all claims, suits, demands, and/or actions arising from or based upon intentional or negligent acts on the part of patrons, vendors, which may arise out of or result from this event. This indemnity provision shall apply regardless of the nature of the injury or harm alleged, whether for injury or death to persons or damage to property. This  indemnity provision shall apply whether the basis for claims, suit, demand, and/or action may be  attributable in whole or in part to The Vintage Roundup or to any of its members, officers, directors.
